Privacy Policy
All Season Clean (“All Season Clean,” “we,” “us,” or “our”) provides an invoicing, customer account, communications, and payment-management service for our residential and commercial cleaning customers. This Privacy Policy explains what information we collect, how we use and disclose it, and the choices available to you.
1. Scope
This policy applies to the All Season Clean customer and administrator portal at secure.allseasoncleansc.com, public invoice and payment links, and related email or text-message communications. It does not govern third-party websites or services that publish their own privacy policies.
2. Information we collect
- Contact and account information: name, business name, email address, telephone number, service, billing and mailing addresses, login credentials, and customer account status.
- Service and invoice information: cleaning services, descriptions, prices, invoice numbers, dates, notes, balances, payment status, reminders, and related customer communications.
- Payment information: payment amount, method, status, transaction identifiers, limited card details such as brand and last four digits, and related records. Stripe processes card and bank-account details; we do not store full card numbers or full bank-account credentials.
- QuickBooks Online information: if an administrator connects QuickBooks Online, we may access and import customer records, invoices, invoice line items, payments, and payment-to-invoice allocations authorized through that connection.
- Communications: messages, delivery status, email or SMS preferences, and records of consent to receive text messages.
- Technical and security information: IP address, browser and device information, session identifiers, timestamps, request logs, and activity needed to secure, diagnose, and operate the service.
3. How we use information
- Provide cleaning-service customer and account support.
- Create, deliver, display, and collect invoices.
- Process payments, reconcile balances, and maintain transaction records.
- Send invoices, receipts, payment alerts, account invitations, secure sign-in links, and requested reminders.
- Import authorized QuickBooks Online records and prevent duplicate imports.
- Authenticate users, prevent fraud, protect accounts, monitor reliability, and troubleshoot the service.
- Comply with applicable legal, tax, accounting, and regulatory obligations and enforce our agreements.
We do not use QuickBooks Online data or customer financial data for targeted advertising, and we do not sell personal information.
4. How we disclose information
We disclose information only as reasonably necessary for the purposes described above, including to:
- Service providers: DigitalOcean for hosting and database infrastructure; Stripe for card and ACH payment processing; Resend for email delivery; an SMS provider if text messaging is enabled; and vendors that help us secure, maintain, or support the service.
- Connected services: Intuit QuickBooks Online when an administrator authorizes a connection or requests an operation involving QuickBooks.
- Legal and safety recipients: authorities, courts, advisers, or other parties when we reasonably believe disclosure is required by law or necessary to protect rights, safety, accounts, or the service.
- Business transactions: a successor or prospective successor in a merger, financing, reorganization, or sale, subject to appropriate confidentiality protections.
These providers process information under their own terms and privacy policies and are permitted access only for their applicable service.
5. QuickBooks Online data
A QuickBooks connection uses Intuit’s authorization process. We receive access credentials that allow the application to request only the QuickBooks data within the permissions approved by the administrator. We use imported data to create customer, invoice, and payment history in this service.
An administrator may disconnect QuickBooks or ask us to revoke the connection. Disconnecting stops future access but does not automatically erase records already imported and incorporated into invoice or payment history. You may request deletion of imported data as described below, subject to legal, tax, accounting, fraud-prevention, and transaction-record obligations.
6. Cookies and sessions
We use essential cookies and similar session technologies to keep users signed in, maintain security, prevent unauthorized access, and operate requested features. We do not use the portal for third-party behavioral advertising.
7. Retention and deletion
We retain account and contact information while the account or customer relationship remains active and for a reasonable period afterward to support operations, resolve disputes, and enforce agreements. Invoice, payment, tax, and related accounting records are generally retained for up to seven years after the relevant transaction or longer when required by law. Security and operational records are retained only as long as reasonably necessary for security, troubleshooting, and legal compliance.
When information is no longer required, we delete, anonymize, or securely isolate it. Residual copies may remain temporarily in restricted backups until those backups are overwritten through normal retention cycles.
To request account closure, disconnection, correction, export, or deletion, email allseasoncleaninc@gmail.com. We may verify your identity and may retain information that we are legally permitted or required to keep.
8. Security
We use administrative, technical, and physical safeguards designed to protect information, including encrypted network connections, access controls, restricted administrator access, credential protection, and service monitoring. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
9. Your choices and rights
You may ask to access, correct, or delete your personal information and may request a copy of information associated with your account. Rights vary by location and may be subject to exceptions. We will respond to verified requests as required by applicable law.
You may opt out of optional text messages by following the instructions in a message or contacting us. You may still receive essential service communications, such as invoices, receipts, security notices, and account-related messages.
10. Children’s privacy
The service is intended for business operations and customers arranging cleaning services. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.
11. United States processing
All Season Clean operates in South Carolina, and information may be processed and stored in the United States. If you access the service from another jurisdiction, its data-protection laws may differ from those in your location.
12. Changes to this policy
We may update this policy as the service, providers, or legal requirements change. We will post the revised policy here and update the effective date. If a change materially affects how we use information, we will provide additional notice when appropriate.
